Many actions must be configured for use in the workflow. This happens after having dragged & dropped an action into the workflow. For this purpose, the action in the workflow must be clicked in order to open and offer the configuration options.
Conditional Execution of Actions
The conditional execution of actions is used to determine whether certain actions in the workflow should be performed.
A condition is a phrase that results in "True" or "False" during the execution of the workflow. Even several conditions can be linked with the logical operators "And" and "Or". „And“-linked conditions have priority over "or"-linked conditions.
Each conditions includes four or 5 elements:
1. | Type of condition: Documents, printers, Windows |
2. | Which value is to be examined. |
3. | Operator to examine the values |
4. | Comparable value |
5. | If there is a follow-up condition, there is still the logical operator for this follow-up condition at the end. |
There are three sources for which conditions can be queried.

• | Windows |
In the case of the printer, it is only possible to select a printer whose status is to be queried. For all other types, multiple sources for the query are possible.
Document Conditions
Name |
Name of the document that will be printed. Is specified by the application from which the printing is done. |

Number of pages in the document. |

Document name suffix. |

Path and name of the application. |
Windows Conditions
AppData, Temp, User Logon Name |
Query the respective environment variable. |

Selection of an IP address from the IP address list stored in the Center whether the client is listed. |

If the condition does not apply or the conditions do not apply, an alternative branch can be connected. In this branch called "Else" actions can be stored that are to be executed if the condition does not apply. |
Selection
During printing the user is displayed a selection window. During the display, printing is stopped.
The window displays title and message. Each case has its own description.
Any number of cases can be given for selection, but at least two.
Display Message Window
Shows the user a message window with title and message. The user has to confirm the message for the workflow to be continued.
Text Search
The text search is a special case of the conditional action. The text search searches for words in the document on pages to be specified. Optionally, the search can be switched with regard to upper and lower case.
Page Selection
The page selection selects pages on which subordinate actions are to be performed. The specification of the page selection is based on the same form that is used in the printer settings dialog for specifying page areas (e.g. 1-* for all pages).
Terminate Workflow
Terminates the workflow, no further actions are performed.
Sub-Workflow
The sub workflow is a special action. It starts its own workflow, which continues working independently with a copy of the document. From this point on, both workflows run in parallel. The action „Terminate workflow“ in the sub workflow does not terminate the other workflow.
Permissions
The document can be protected from unauthorized access with password protection. Access includes opening and modifying/using the document. In doing so, a password can be specified by the administrator. As an alternative, the user can be asked to specify the password protection as soon as the document enters the workflow. In this case, the user is displayed a dialog.
Watermark
This action draws a text centered on all (active) pages as a watermark.
Background Image
This action places a background image on all (active) pages. The image file must be in PDF format. The image must support transparency for those areas where the text must be visible.
The path to the image file must be available during workflow printing.
Merging Documents
Here, the PDF merger opens for the user to merge documents.
Archive Document Format
The document is converted into an archive format.
Saving to File System
The document is saved in the file system as a PDF file. It can be specified whether the user is displayed a file path selection dialog or whether the administrator pre-defines it. A corresponding configuration is also possible for the file name.
E-Mail Dispatch
The document will be sent as an e-mail attachment. For this purpose, the locally installed e-mail client opens during the workflow is printed. The administrator can already provide the e-mail details to the e-mail client in the workflow (recipient list, cc, bcc, subject etc.).
Printing (Obsolete)
The document is printed to a printer. The administrator has the option to provide the following printers:

• | VPD printer optionally with stored template (=printing settings) |
• | vName printer. |
vPrinter
Opens the vPrinter for further actions.

When using the vPrinter in the workflow, the vPrinter actions must be made available. They are enabled by default. |
vName
Print the document without assignment and without local availability of the vName printer by using templates.
Virtual printing
Print the document without assignment and without local availability of the printer by using templates.
Select a printer from steadyPRINT with a suitable template to which the user is supposed to print.
Default printer
Print to the current default printer of the user.
User-defined printer
The user can freely choose the printer.
Printing
The document is printed to a printer. Here, the administrator has options to configure specific printers for the user.

SecurePrint
This action sends the document directly to the SecurePrinter. There are not further setting options here.
Store to Batch
The document is stored to a batch. In doing so, the user's default batch can be used, or the user selects an available batch.
Store to Cloud
The document is stored to the configured Cloud at the desired location. In order to set up the necessary cloud provider, please switch to the setting "vFlow Cloud Provider" and configure it according to the following articles listed in our Knowledge Base :
